Role Overview
The Procurement Specialist owns all finish material procurement for assigned projects. You will quantify, specify, source, order, track, and deliver every finish item to meet budget, design intent, and schedule. You partner closely with Design, Estimating, Project Management, Site Supervisors, and our vendors to keep materials flowing and jobsites moving.
What You Will Do
Create accurate material takeoffs from plans and spec sheets for all finishes. Examples include tile, stone, slab, flooring, plumbing fixtures, lighting, hardware, appliances, paint, mirrors, glass, and specialty items.
Build and maintain procurement trackers by project. Include SKU, finish, quantity, unit of measure, price, vendor, lead time, order date, ship date, ETA, delivery location, and status.
Request quotes, compare options, confirm availability, and lock pricing with vendors and reps.
Issue and manage purchase orders. Verify acknowledgments and confirm all details before release.
Track lead times, backorders, substitutions, and deliveries. Proactively flag risks, propose alternates, and re-sequence when needed.
Assemble, manage, and distribute project spec binders (digital and physical). Ensure accuracy and version control; deliver binders at Design-to-Construction handoff and keep them current throughout the build.
Schedule deliveries to warehouse or jobsite. Coordinate access, protection, and staging with Site Supervisors.
Field questions from the jobsite about finish materials. Clarify specs, confirm selections, coordinate with Design and vendors on RFIs, and document decisions/changes.
Manage submittals, cut sheets, samples, and approvals. Keep the latest spec set organized and accessible.
Inspect deliveries for accuracy and damage. Handle returns, replacements, and warranty claims.
Support budget control. Reconcile POs, packing slips, and invoices. Report variances and savings.
Maintain vendor relationships and a current library of finishes, pricing, and lead times.
Keep Asana or equivalent tasks up to date so the team and clients always see clear status.
Close out projects with complete material logs, warranty information, and care use guides.
Assist with coordination and delivery of jobsite start materials, including site signage, city parking permits/postings, and material/spec binders; align delivery with mobilization and permit requirements.
Oversee inventory of branded team clothing (shirts, hats, etc.). Ensure all office and field staff have designated work apparel, track sizing and quantities, place regular orders, and onboard new employees with the right clothing.
What You Bring to the Role
3+ years in residential construction or interiors in a purchasing or procurement role. Design-build experience is a plus.
Strong plan reading skills. Comfortable with finish schedules, elevations, and details.
Expert spreadsheet skills. Confident with formulas, filters, and clean sheet structure.
Experience with billing systems and basic invoice reconciliation.
Clear written and verbal communication. Vendor-savvy and solutions-oriented.
Organized, detail-driven, and calm under shifting priorities.
Ability to lift and move samples and small boxes as needed, up to 30 lbs.
Valid driver’s license for occasional vendor or jobsite trips in the Bay Area.

Experience with high-end plumbing, lighting, stone, and custom millwork specifications
Familiarity with SF and California supplier landscape
Basic understanding of lead time risk management and alternates strategy

Full-time. Core hours Monday to Friday.
Based in San Francisco. On-site at our office/home office with periodic jobsite and vendor visits.
